Your data
Privacy policy.
This website is run by DJW Events London Ltd, 220 Green Lanes, Palmers Green, London N13 5LB. We decide how your information is used (we're the "controller"). Contact us at office@djwevents.com.
What we collect
- Bookings: your name, email, phone number, the date and what you booked, any notes you give us, what you've paid, and any promo or partner code you used.
- Private hires and Bar/Bat Mitzvahs: the occasion (and the age, for a birthday), whether anyone under 18 is coming, and your agreement to the hire terms. If under-18s are coming, also your date of birth (to check you're 18 or over on the day) and your agreement to the responsible adult agreement. For a Bar/Bat Mitzvah, the party questionnaire: timings, numbers of adults and children, catering, suppliers and anything else you tell us.
- Signatures: when you agree to the hire terms, the responsible adult agreement or a waiver, we keep the name you typed to sign, which version you agreed to, and the date and time.
- Guest lists: the people who join your booking from your share link. For adults: name, email, phone number and date of birth, and their waiver. For under-18s at a private party: their name and date of birth only (no waiver, no email), so our staff know who is under 18 on the night. We also record when each guest arrives at the door.
- Waivers: your name, date of birth, contact details, event date, any health notes you choose to give, and whether you're happy to appear in photos.
- Photo booth frames: the words you put on a frame (for a kids' party, usually the child's name and age) and the finished print file, plus your contact details and party date if you order one from our kids' frames page.
- Enquiries and emails: whatever you send us through our forms, or by email to office@djwevents.com (your name, email address, the subject and the message), and our replies.
- Payments are handled by our card processor (Stripe). We never see or store your full card details. We keep a record of what was paid, when, and any refunds.
- Arcade: the name you enter for the public leaderboard and your score. If you claim a prize, or you're the week's top scorer and leave your email, we keep your name, email and score.
- IP addresses: your internet address is recorded when you sign a waiver (as evidence it was you who signed) and when you claim an arcade prize. It's also used briefly to stop too many bookings or attempts coming from one place, and our hosting company keeps short technical logs that include it, to keep the site secure.
How we use it, and why we're allowed to
Data protection law says we need a reason (a "lawful basis") for each use. Ours are:
- To take and manage your booking (confirmations, your booking page, payments, refunds, moving tickets, guest lists, photo booth frames): because it's needed for our contract with you.
- To keep everyone safe and run the venue (waivers, checking ages so no one under 18 is served alcohol, knowing who's in the building, signing guests in at the door): because we have a legitimate interest in running a safe venue, and to meet our legal duties as a licensed venue.
- Children's details (names and dates of birth on a private party's guest list, a child's name on a photo booth frame): given to us by the parent or responsible adult who booked, and used only to run that party safely (knowing who is under 18) and to make what was ordered. Our basis is our legitimate interest in running a safe party and, for frames, our contract with the person who ordered. We never use children's details for marketing.
- Health notes on a waiver: these are "special category" information, so we only keep them if you choose to give them, with your explicit consent, and use them only so our staff can look after you. You can ask us to remove them at any time.
- Signatures and IP addresses on waivers and agreements: so we can show what was agreed, by whom and when (our legitimate interests, and to defend legal claims).
- Replying to your emails: our legitimate interest in answering you (see "Who we share it with" for how replies are drafted).
- Accounts and tax: we keep booking and payment records because the law requires it.
- Telling you about upcoming events and offers: only if you've agreed (see "Marketing").
We don't sell your details or partner with advertising companies.
Who we share it with
We only share what each company needs to do its job for us. They act on our instructions.
- Stripe takes card payments and refunds.
- Vercel hosts the website, and Neon hosts our database.
- Resend or Microsoft (Outlook) sends our emails, such as booking confirmations. Emails to office@djwevents.com are held in our Microsoft mailbox.
- Anthropic (Claude) helps us draft replies to emails sent to office@djwevents.com. It sees the sender's name and email address, the subject and the message, and doesn't use them to train its models. A member of our team always reads, edits and approves a reply before it's sent; nothing is ever sent automatically.
- Dropbox stores photo booth print files (the frame with its words) so we can print them, once paid for.
- Sentry tells us when something on the website goes wrong. Error reports leave out personal details: no names, emails, form contents, cookies, booking links or IP addresses.
- Google Firebase runs the public arcade leaderboard. It receives only the name you enter, your score, which game, and a random ID for your device. Don't enter your full name if you'd rather not be identified.
- Epos Now, our bar till: we only read takings totals from it (what was sold and when). No customer details are sent to it.
- KB02, the building's room booking system: it receives only the date, start and end times, the room and a booking reference. No names or contact details.
Some of these companies store data outside the UK (for example in the USA). Where they do, it's protected by the safeguards UK law requires. We may also share information if the law requires it (for example with the police or licensing authority).
How long we keep it
- Booking and payment records: 6 years after the booking, for our accounts and tax.
- Waivers, guest lists and signed agreements (including dates of birth, children's details and health notes): 13 months after the event, so we can deal with any question about the night, then deleted.
- Bar/Bat Mitzvah questionnaires and photo booth frames: 13 months after the party.
- Emails to office@djwevents.com and our replies: 24 months.
- Enquiries that don't become a booking: 24 months.
- Marketing list: until you unsubscribe or ask us to remove you.
- Arcade scores: 8 weeks. Prize claims: 12 months.
- Records used to stop abuse (attempts counted by IP address): about an hour.
Marketing
We only send news and offers if you've said yes: when you join a booking's guest list from the share link, there's a tick box, and it's unticked unless you tick it. People who signed up on our old booking system are on the list too. Booking with us doesn't sign you up, and when you book you can also tick "No offers or news from DJW, thanks" to stay off our marketing list even if you were on it before.
You can opt out at any time: reply to any marketing email, or email office@djwevents.com, and we'll take you off the list.
Cookies and storage
We don't use advertising or tracking cookies. Your browser stores a few small things for the site to work, such as your arcade settings and name, and, if you arrived through a partner's link, which partner sent you. Staff logging in to our back office get a secure login cookie.
Your rights
You can ask to see the information we hold about you, have it corrected, or have it removed, ask us to stop using it or to restrict how we use it, and ask for a copy to take elsewhere. Where we rely on your consent (marketing, health notes) you can withdraw it at any time.
Email office@djwevents.com with your name and booking reference. We'll reply within one month. A parent or guardian can ask on behalf of their child.
If you're unhappy with how we've handled your data, please tell us first; you can also complain to the Information Commissioner's Office (ico.org.uk).
Changes
If we change how we use your information, we'll update this page. Last updated: 16 October 2026.
